Summary:
The VIP Services Coordinator is responsible for handling all requests that are identified as important and require special attention; including, but not limited to, Executive Committee Members, Lone Cypress, and unsatisfied guests.
The VIP Services Coordinator is responsible for the handling of all internal events run by the Tournament Office and Executive Offices.
This role will also be responsible for assisting to the Golf Group Sales Coordinator and Spa Sales Coordinator positions.
Essential Duties &
Responsibilities:
Responsible for VIP reservations as identified by Executive Committee Members and Lone Cypress.
Responsible for VIP reservations as identified by National Sales Managers and Marketing Managers.
Accountable for tracking reservations made through VIP Services and ensuring reservations are properly booked and set up for arrival.
Open communication with Reservations, Sales and Golf Managers.
Open communication with Operations departments to ensure VIP Services runs efficiently and all guest benefits are applied properly.
Keep and maintain records of all approvals for guest benefits.
Responsible for maintaining all room blocks, golf blocks, and event schedules for all internal events as scheduled by the Tournament Office for a 5 year period.

Handling of contracts of all internal events as scheduled by the Tournament and Executive OfficesResponsible for Employee Value Season reservations and ensure reservations are properly booked and set up for arrival.
Assist Golf Group Sales Coordinator and Spa Sales Coordinator as assigned/needed.
Ability to assist with Group Rooms and Golf Coordinators as assigned/needed.
Ability to assist with other tasks that may be assigned by the Group Reservations Manager or Director of Reservations.
Comply with Pebble Beach Company Service Standards as well as Safety, Health and Communication policies and procedures.
Additional Responsibilities include:
Assist and support the Golf Group Sales Coordinator and Spa Sales Coordinator in times of absence.
Configure and Maintain Golf Reservations System as dictated by the sunrise and sunset calendar.
Set course non-guaranteed and twilight starting times at each of the four courses.
Coordinate all Shotguns with Sales and Golf Division to allow for displaced revenue and proper daily messages.
Coordinate all non-resort Golf Group requests with the Group Reservations Manager.
Identify occupancy holes and assist in soliciting Non-Resort Golf Groups.
Coordinate the scheduling and rates of special non-resort golf groups such as:
The Stillwater Cove Golfing Society Tournaments and twilight play, Bagpipers Tournaments, Company Club Tournaments and Nike Jr.
Golf.
Work closely with Resort Group/Golf Manager on availability & tentative golf groups (past decision dates), NCGA Tournaments, US Open, etc.
Introduce The Spa and educate group clients about The Spa as a leisure activity option.
Solicit and close spa contracts in order to achieve a group capture rate and revenue goals set by the company.
Work closely with meeting planners to adjust pre-blocked spa treatments and communicate set reservation deadlines.
Input group spa reservations for each sales group attendee in SpaSoft.
Generate monthly report for spa revenue/tracking.
Book non-resort Spa groups, by generating an agreement, booking treatments and creating bookings in Delphi.
Absolutely Required Skills:
Must be service oriented, a self-starter, accurate and able to work with attention to detail.
Excellent telephone skills required.
Ability to operate typical office equipment necessary.
Desired Skills:
Must be able to enter data and knowledge of hotel reservations systems helpful.
Minimum 2-3 years hotel or resort experience preferred.
